Booking Policy
At Birding Peru Tours, we are committed to providing our clients with a reliable, transparent, and well-organized booking process. This Booking Policy establishes the terms and conditions that apply when making a reservation for any of our tours, birdwatching experiences, transportation services, accommodation, or other travel services.
1. Booking Request
Clients may request a reservation through our website, email, WhatsApp, social media channels, or other official communication channels provided by Birding Peru Tours.
To process a booking request, we may require the following information:
- Full name of each traveler
- Nationality
- Passport or identification information, when required
- Contact information
- Preferred travel dates
- Number of participants
- Selected tour or itinerary
- Accommodation preferences, when applicable
- Dietary requirements or special requests
- Any other information necessary to organize the requested services
Submitting a booking request does not automatically guarantee availability or confirmation.
2. Availability
All reservations are subject to availability.
Birding Peru Tours will verify the availability of the requested services and provide the client with confirmation and payment instructions.
Availability may depend on hotels, transportation providers, professional guides, entrance tickets, permits, and other third-party service providers.
3. Reservation Confirmation
A reservation will be considered confirmed only after Birding Peru Tours has confirmed the availability of the requested services and received the required advance payment, when applicable.
The client will receive a booking confirmation by email, WhatsApp, or another agreed communication channel.
The confirmation may include:
- Tour details
- Travel dates
- Number of participants
- Services included
- Accommodation information, when applicable
- Meeting or pickup details
- Total price
- Amount paid
- Outstanding balance
- Payment deadline
- Other relevant booking conditions
Clients are responsible for reviewing the confirmation and notifying Birding Peru Tours immediately of any errors or discrepancies.
4. Advance Payment
Depending on the tour and services requested, Birding Peru Tours may require an advance payment to secure the reservation.
The required amount and payment deadline will be communicated to the client before the reservation is confirmed.

5. Customized and Private Tours
For private, customized, or multi-day itineraries, the booking conditions may differ from those applicable to standard group tours.
Customized itineraries may require higher advance payments because Birding Peru Tours may need to secure accommodation, transportation, guides, permits, entrance tickets, or other services specifically for the client.
Any special booking conditions will be communicated before confirmation.
6. Changes to a Reservation
Clients may request changes to a confirmed reservation, including:
- Travel dates
- Number of participants
- Tour itinerary
- Accommodation
- Transportation
- Additional services
- Special requests
All changes are subject to availability.
Changes may result in additional charges, price differences, or cancellation fees imposed by third-party providers.
Birding Peru Tours will inform the client of any applicable additional costs before confirming the requested change whenever reasonably possible.
7. Cancellation by the Client
If a client wishes to cancel a reservation, the cancellation request must be submitted through an official Birding Peru Tours communication channel.
The applicable refund, if any, will depend on:
- The date of cancellation
- The cancellation conditions communicated at the time of booking
- The type of tour or service booked
- Payments already made to third-party providers
- Any non-refundable services or fees
Some services may be subject to strict cancellation or non-refundable conditions.
8. Cancellation or Modification by Birding Peru Tours
Birding Peru Tours reserves the right to modify, postpone, or cancel a tour when circumstances beyond our reasonable control make the original itinerary impossible, unsafe, or impractical.
Such circumstances may include:
- Extreme weather conditions
- Natural disasters
- Road closures
- Strikes
- Social unrest
- Government restrictions
- Closure of tourist attractions
- Changes imposed by local authorities
- Safety concerns
- Other unforeseen circumstances
When possible, Birding Peru Tours will offer an alternative itinerary, date, or service.
If a refund is applicable, it will depend on the amounts recoverable from the third-party providers involved in the reservation.
9. Delays and Failure to Arrive
Clients are responsible for arriving at the designated meeting or pickup location at the agreed time.
If a client arrives late or fails to appear for a scheduled service, Birding Peru Tours will make reasonable efforts to assist, but the service may be considered a no-show.
Additional costs resulting from late arrival, missed transportation, missed tours, or the need to arrange alternative transportation may be charged to the client.
10. Passport and Personal Information
Clients are responsible for providing accurate and up-to-date information required to arrange their trip.
Incorrect or incomplete information may result in difficulties with reservations, transportation, accommodation, entrance tickets, or other services.
Birding Peru Tours is not responsible for problems resulting from inaccurate information provided by the client.
11. Travel Documents and Requirements
Clients are responsible for ensuring that they have all documents required for their trip, including, where applicable:
- Valid passport or identification documents
- Visas
- Entry permits
- Travel insurance
- Health-related documentation required by authorities
- Other documents required by Peruvian authorities or the relevant service providers
Birding Peru Tours may provide general travel information but is not responsible for obtaining documents that are the client’s responsibility.
12. Third-Party Services
Some services included in a Birding Peru Tours itinerary may be provided by independent third parties, including:
- Hotels and lodges
- Airlines
- Transportation companies
- Restaurants
- Local guides
- Entrance-ticket providers
- Park or attraction authorities
- Other tourism service providers
These services may be subject to their own terms and conditions.
Birding Peru Tours will make reasonable efforts to work with reliable service providers and coordinate the services included in the agreed itinerary.
13. Prices and Availability
Prices provided in quotations are based on the services and conditions specified at the time of quotation.
Prices may change before confirmation due to changes in availability, accommodation rates, transportation costs, entrance fees, taxes, currency exchange rates, or other supplier charges.
The final price applicable to the client will be the price confirmed by Birding Peru Tours at the time of booking, unless subsequent changes are requested by the client or required by third-party providers.
14. Special Requests
Birding Peru Tours will make reasonable efforts to accommodate special requests, including dietary preferences, accommodation preferences, mobility requirements, or other travel needs.
However, special requests are subject to availability and cannot always be guaranteed.
Clients should communicate special requirements as early as possible, preferably before the reservation is confirmed.
15. Acceptance of the Booking Policy
By requesting and confirming a reservation with Birding Peru Tours, the client acknowledges that they have read, understood, and accepted this Booking Policy, as well as the applicable payment and cancellation conditions.
The client also agrees to provide accurate information and comply with the instructions provided by Birding Peru Tours and the relevant service providers.
