Advance Payment Policy
At Birding Peru Tours, we require an advance payment to confirm and secure your reservation. This policy explains the conditions applicable to advance payments, reservation confirmation, cancellations, refunds, and outstanding balances.
1. Advance Payment Requirement
To confirm a tour reservation, Birding Peru Tours may require an advance payment or deposit.
The amount of the advance payment will depend on the type of tour, itinerary, travel dates, group size, and services included in the reservation.
The exact amount required and the payment deadline will be communicated to the client at the time of booking.
A reservation is considered confirmed only after the required advance payment has been received and the booking has been confirmed by Birding Peru Tours in writing.
2. Purpose of the Advance Payment
Advance payments allow Birding Peru Tours to secure the services necessary for your trip, which may include:
- Professional birdwatching guides
- Transportation
- Accommodation
- Entrance tickets and permits
- Meals and restaurants
- Local activities
- Special services requested by the client
- Other travel services included in the agreed itinerary
Some of these services may require Birding Peru Tours to make non-refundable or partially refundable payments to third-party providers in advance.
3. Payment Methods
Birding Peru Tours may offer different payment methods depending on the reservation and the client’s location, including:
- Bank transfer
- Credit or debit card
- Online payment platforms
- Other payment methods previously agreed upon with the client
Any applicable transaction fees, bank charges, or payment processing fees will be communicated to the client before payment is made.
4. Reservation Confirmation
Once the required advance payment has been received, Birding Peru Tours will send the client a booking confirmation and, when applicable, the corresponding itinerary and details of the services booked.
The client is responsible for reviewing the confirmation and notifying Birding Peru Tours promptly if any information is incorrect.
5. Remaining Balance
If the total cost of the tour is not fully paid in advance, the remaining balance must be paid according to the payment schedule communicated at the time of booking.
Unless otherwise agreed in writing, the outstanding balance should be paid before the beginning of the tour.
Certain tours or services may have different payment deadlines due to the policies of third-party providers.
6. Cancellation by the Client
If the client cancels a confirmed reservation, the refund of the advance payment will depend on:
- The cancellation date
- The cancellation terms communicated at the time of booking
- The policies of hotels, transportation companies, entrance-ticket providers, guides, and other third-party suppliers
- Any non-refundable amounts already paid by Birding Peru Tours on behalf of the client
Where applicable, Birding Peru Tours will inform the client of the amount that may be refunded after deducting non-refundable costs and applicable cancellation fees.
7. Non-Refundable Services
Certain services may be subject to non-refundable or partially refundable conditions, particularly when they involve advance payments to third-party providers.
These may include, but are not limited to:
- Accommodation
- Entrance tickets
- Special permits
- Transportation reservations
- Domestic or international flights
- Private guides
- Special activities
- Services booked during high-demand periods
Any known non-refundable conditions will be communicated to the client before or during the booking process.
8. Cancellation by Birding Peru Tours
In exceptional circumstances, Birding Peru Tours may need to cancel or modify a tour due to circumstances beyond our reasonable control, such as:
- Severe weather conditions
- Natural disasters
- Government restrictions
- Road closures
- Strikes or social unrest
- Operational or safety concerns
- Closure of tourist attractions
- Other circumstances that may significantly affect the safety or feasibility of the tour
In such cases, Birding Peru Tours will make reasonable efforts to offer an alternative date, modify the itinerary, or provide an applicable refund, depending on the circumstances and the refund policies of the service providers involved.
9. Changes to a Reservation
Requests to change travel dates, itinerary, number of participants, accommodation, transportation, or other services must be made as soon as possible.
Changes are subject to availability and may result in additional charges or cancellation fees imposed by third-party providers.
Birding Peru Tours will inform the client of any additional costs before confirming the requested change whenever reasonably possible.
10. Failure to Complete Payment
If the client does not make the required payment by the agreed deadline, Birding Peru Tours reserves the right to cancel the reservation.
In such cases, any refund will be subject to the applicable cancellation terms and the policies of the service providers involved.
Any additional costs resulting from the failure to make a payment on time may be charged to the client when applicable.
11. Payment Verification
Birding Peru Tours reserves the right to request reasonable information necessary to verify a payment or reservation.
A payment is considered received only once the funds have been successfully credited or confirmed through the applicable payment method.
Sending a payment receipt or proof of transfer does not, by itself, guarantee that the reservation has been confirmed.
12. Currency and Exchange Rates
Tour prices may be quoted in U.S. dollars (USD) or another currency specified in the quotation.
If the client makes a payment in a different currency, the final amount may vary depending on the exchange rate applied by the client’s bank, payment provider, or financial institution.
Any bank or currency-conversion fees charged by the client’s financial institution are the client’s responsibility unless otherwise agreed.
13. Agreement to the Payment Terms
By making an advance payment, the client confirms that they have read and accepted the applicable booking conditions, cancellation terms, and payment requirements provided by Birding Peru Tours.
The client also acknowledges that certain services included in the itinerary may be subject to the terms and conditions of independent third-party providers.
